Highlights of eSignatureOffice

Proven many times

icon handshake

With over 100,000 installations in the insurance, banking, industry and healthcare sectors in Germany alone, eSignatureOffice is probably Europe’s best-selling software for handwritten electronic signatures.

Maximum security

icon encription

Highest security standards thanks to double asymmetric encryption. Signature pad & software-side encryption of biometric data up to 4096 bit RSA. The signatures provided can be conveniently validated (e.g. with Adobe Acrobat Reader).

Automations

The software enables numerous automations: Signature fields can be placed in the right place in the document dynamically and automatically (e.g. based on search terms). Individually configurable macro actions enable the automated renaming, saving or printing of the document after the signature has been completed. Information within the document (e.g. “order no.” or “date”) can also be used and applied for processing. Sending the document by e-mail or transferring the file to another application is also easy.

Integration & Customizability

icon software

eSignatureOffice can be integrated into existing workflows without any programming effort, e.g. by starting with command line parameters and configuration files. The user interface can be customized according to individual requirements, making operation child’s play for the user. For deep integration, integration as a visual component (OCX) is also possible.

Document display

eSignatureOffice enables PDF/A documents to be viewed and signed. In addition, form fields can be filled in and saved in eSignatureOffice. Signing can be done directly in the document.

Server Environments & Web Capability

In conjunction with our TCP and our Citrix module, terminal server environments are also supported. In addition, eSignatureOffice can also be called from a web application via a so-called link handler.

eIDAS compliant

eSignatureOffice is suitable for “simple” and “advanced electronic signature” systems.

eSignatureOffice enables PDF/A documents to be viewed and signed. In addition, form fields can be filled in and saved in eSignatureOffice. eSignatureOffice enables maximum security through double asymmetric encryption and also supports the use of the highly secure StepOver naturaSign and duraSign signature pad series with pad-internal linking of the captured signature to the document and pad-internal RSA encryption of the biometric data.

eSignatureOffice can also be called from your web application via a so-called link handler. In addition, eSignatureOffice supports the http(s) and FTP – download of documents (PDF/A files) and the desired control files (e.g. configuration data and signature templates) as well as the data transfer (upload) via FTP and http(s).

The intelligent signature templates help you automatically capture signatures and insert them in the right place in your electronic document. This works even with dynamically generated documents, where the positions of the signature fields change with the document length. The positions of the signature fields can either be determined via keywords in the text (e.g. always below the word “signature”) or PDF signature fields already in the document can be accessed.

It is often necessary for the signed PDF/A document to be given a name after signing, which is partly derived from the contents of the document (e.g. order number and customer name). Intelligent file renaming can automatically search the PDF/A document for keywords (e.g. “order no.”) and transfer subsequent words or characters (e.g. the numeric order number) to the final file name of the signed PDF/A document. Intelligent renaming can also be combined with a signature template to create a fully automated signature workflow in which the user is guided from signature field to signature field and only needs to sign.

After signing in eSignatureOffice, the document can be automatically forwarded in the customer’s internal processing chain. Numerous options are thus available for integration into existing workflows. However, a flexible application must not only demonstrate technical adaptability, but also functional and visual adaptability. Buttons and functions that should not be made available to the user can be locked and hidden by the administrator, even the design of the software can be changed. These individual settings and many more can then be exported to a configuration file (*.scs – file) and imported to any number of clients.

  • Sign directly in the document (no separate signature window)
  • Display of PDF tables of contents
  • Thumbnail preview of PDF pages
  • Table of contents in sidebar (if present in document)
  • Scrolling, zooming and continuous scrolling of PDF documents
  • Filling of PDF form fields as well as support of checkboxes, selection elements and drop-down menus, as well as their saving
  • Support of a full document display on the signature pads with StepOver color screen
  • Extensive possibility of access restriction (or hiding)
  • Any document from a printable Windows application using the included PDF converter
  • PDF/A documents created by the customer
  • Above mentioned PDF documents also with signature fields and form fields created by the customer
  • File transfer to eSignatureOffice via program call and transfer of start parameters (also XML)
  • Document input also possible via http(s) and FTP
  • Transfer of a complete signature process (signature template) with optional signature fields, mandatory fields and further process
  • instructions (e.g. for forwarding / subsequent further processing of the document)
  • (Partial) pre-filling of PDF form fields from your customer application
Delivery of a configuration which determines the appearance and functionality of the software
  • For PDF/A compliant input, eSignatureOffice also provides PDF/A compliant output.
  • ISO standard-compliant PDF signatures – enables verification with all standard products (e.g. Adobe Reader) and interoperability with other standard-compliant signature methods and software tools
  • Certificate-based signature can be used in addition to handwritten electronic signature
  • In conjunction with a StepOver signature pad, this results in an advanced electronic signature in accordance with eIDAS
  • Document output also possible via http(s), FTP and e-mail
  • Return file that reports the status of each signature field to the parent client application
  • Printing of the signed documents is also possible
  • Customizable user interface (many controls can be changed or disabled)
  • Can be fully integrated into customer application as a visual component (OCX)
  • Configurations can be created once at one workstation, exported as a configuration file and imported at all workstations
  • With our branding tool, available on request, administrators can even change the user interface almost indefinitely (available on request)
  • Intelligent signature templates (e.g. automated positioning of signature fields even for dynamic documents, e.g. via keywords)
  • Automatic jumping to signature fields during the signature process and zooming in if necessary
  • Different handling of mandatory and optional signature fields (abort at mandatory field = abort of the whole signature process)
  • Ability to define macro actions and trigger them automatically on specified events (e.g. save, print, send document by e-mail, file upload, file transfer to other application)
  • Intelligent file name assignment (e.g. automatic finding of the order number in the PDF and assignment of this as (partial) file name)
  • Supports signature pad-side encryption of biometric data up to 4096 bit RSA in combination with StepOver signature pads (maximum security!)
  • Supports signature pad-side digital signature of the document in connection with StepOver signature pads
  • Supports software-side encryption of biometric data with up to 4096 bit RSA with other signature devices (lower security)
  • Support for time servers to apply signed time stamps (requires network/internet connection to time server)
  • Time-delayed signing possible at any time without compromising security
  • Automatic locking of form fields after first signature
Signatures can be conveniently verified (comparable to Adobe Acrobat Reader)
